Case Study North American Youth Exchange Network
The North American Youth Exchange Network (NAYEN) manages Rotary Youth Exchange activity in the United States, Canada, and Mexico. Rotary Youth Exchange is the opportunity of a lifetime for the more than 8,000 students who participate each year. NAYEN also organizes annual conferences consisting of over 300 delegates plus spouses and partners.
As NAYEN grew in scope and size, their website struggled to keep up with increasing demands. As a result, communication became fragmented between multiple ad-hoc websites, Yahoo Groups, and email threads. There was no central hub for NAYEN activities.
Another concern for NAYEN was the emergence of private student exchange companies. These companies had stylish, modern websites that raised the standard for the industry.
Just in time for their yearly conference, we rejuvenated NAYEN’s online brand and launched a new, mobile responsive website. The website has a modern corporate look for partners and board members, while remaining approachable and inviting for prospective parents and students.
There is a calendar to keep everyone informed all of NAYEN’s events, meetings, and conferences. Events are color-coded based on categories, displayed in a variety of views, and exportable to Google Calendar and iCal.
Because NAYEN is an organization that spans 3 countries, the document library is one of the most important parts of the website. Any type of document can be added to the library, and documents can be organized into categories and subcategories. A private document library was also developed, so the board members can share confidential information between one another.
After the website was launched, we provided ongoing personal training and reference documents so NAYEN members can get the most out of the website.
After debuting at NAYEN’s yearly conference, the website has received extremely positive feedback. Multiple websites and forms of communication have been centralized into one location, making collaboration much easier than before. The consolidation of multiple portals into one has also save NAYEN considerable time, and streamlined many internal processes.
